Job Description
JOB SUMMARY: The Assistant Manager (AM)'s primary function is to assist with the operation of The Bookstore at Southern. They will act as the first point of contact for customers within the store and is responsible for managing the part-time staff. The AM will also assist with administrative responsibilities and associate oversight related to both the Bookstore and Mailroom.
ESSENTIAL JOB FUNCTIONS: The employee in this position will have the following essential job functions:
MANAGEMENT
- Models and trains team members in policies, procedures, and excellent customer service
- Ensures associates are well-trained, given clear objectives, and receive timely feedback on their performance
- Coordinates with Associates to prepare weekly schedules two weeks in advance (WhenIWork scheduling platform)
- Approves all part-time timesheets for the Retail Services department
- Cultivates strong relationships with department managers, faculty, and other seminary staff
- Coordinates with Human Resources to manage employee onboarding
- Ensures compliance with institutional policies and procedures
- Assigns tasks to Associates as needed
ADMINISTRATION
- Processes invoices in accordance with accounting principles
- Prepares check requests for Director's approval
- Serves as the PCard Administrator
- Manages primary Bookstore email inbox, responding to inquiries timely (often within 48 hours)
RETAIL
- Manages and processes all online orders and works closely with our ecommerce partner, 10ofThose
- Proactively and independently researches new releases from publishers to ensure we are acquiring desirable titles in a timely manner
- Maintains accurate list of all newly released faculty titles to ensure the store carries those titles
- Assists Director with merchandizing of books and other retail items, maintaining accurate signing and pricing, cleanliness, and overall aesthetic and branding of the store
- Works with Director to schedule, plan, and execute various bookstore sales and events
- Receives inventory from publishers and vendors
- Implements Director's vision to meet budgeted sales and gross margin goals
GENERAL EXPECTATIONS:
- Proficient in Bookstore opening and closing procedures
- Proficient in the use of POS system: Lightspeed R-Series
- Maintains an organized work area (primarily in the back receiving space)
- Communicates effectively; possesses tact, clarity, diplomacy and good listening skills
- Characterized by a high energy level, strong work ethic, proactive attitude and internal motivation
- Diffuses tense situations with grace and compassion
- Strong problem-solving skills
Performs other duties as may be assigned by supervisor.
EDUCATION:
The person in this position should have a 4-year degree (Bachelor's degree) or equivalent: may be substituted for experience
EXPERIENCE:
The person in this position preferably will have 1-2 years of experience in a similar position with the following expertise: management (preferably in a retail environment), proficiency in the use of common software applications such as Word, Excel, and Outlook
SUPERVISION:
The person in this position will report to the Director of Retail Services. The person in this position will supervise part-time Bookstore Associates
WORK ENVIRONMENT:
The person in this position will work in a fast-paced environment, standing, sitting, bending and stretching, and
regularly lifting up to 40 pounds of books and inventory. The Southern Baptist Theological Seminary
