Job Title: Elementary School Secretary
GENERAL DESCRIPTION Provide clerical assistance for the efficient and effective operation of the school
administrative offices. Assist, where appropriate, the instructional and support staff as well
as students, parents and members of the community by performing the following duties:
QUALIFICATIONS 1. High School diploma or GED equivalent.
2. Experience with personal computers is required.
3. Ability to communicate effectively with students, parents, colleagues and administration.
4. Ability to read and interpret documents such as reference manuals, Board policies and procedures manuals.
5. Ability to read and comprehend simple instructions, short correspondence, and memos.
6. Ability to write simple correspondence.
7. Ability to respond to common inquiries or complaints from students, parents, agencies, teachers or members of the school community.
8. Ability to effectively present information to administration, staff, public groups, and/or Board of Education.

- Maintain confidentiality of information as required under federal laws, state statutes, Board policies, and related administrative guidelines.
- Report actions, through the appropriate chain of authority that may represent violations of federal laws, state statutes, Board policies, and related administrative guidelines.
- Refrain from unethical activity that may reasonably interfere with the legitimate operational interests and goals of the District.
- Comply with all other federal laws, state statutes, Board policies, and related administrative guidelines.
ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Receive and greet all staff, students, parents and visitors courteously and assist them accordingly.
2. Perform clerical duties including typing, filing, answering phones and providing information as requested.
3. Create and maintain a clean and welcoming environment in the front office.
4. Maintain inventory and process purchase orders for classroom and office supplies as needed.
5. Process student withdrawals and maintain student records as required.
6. Ensure that annual start to school paperwork is processed.
7. Assist teachers in preparation of materials as needed.
8. Receive and distribute interoffice and U.S. mail.
9. Coordinate classified time cards and teacher and classified attendance records.
10. Maintain daily student attendance operations and update databases, in absence of attendance clerk.
11. Assist building principal with creation of annual building budget and maintain ongoing budget reports.
12. Use available technology to disseminate information to students, parents and teachers as requested.
13. Maintain database to verify all students have completed necessary forms.
14. Maintain database to verify all students have submitted required fees.
15. Maintain database for student technology management and fees.
16. Assist with additional programs such as honor roll, staff attendance, and time sheet distribution and collection.
17. Compile publications and documents as requested by administration.
18. Prepare and make deposits as needed.
19. Maintain office equipment such as copy machine, fax machine, phone system and printers.
20. Provide medical assistance in the absence of the school nurse including dispensing medication, taking temperatures and contacting appropriate personnel.
22. Record student attendance during fire drills.
23. Coordinate student of the month and parent/teacher conferences.
24. Coordinate with the principal, the production of the annual building calendar
25. Ability to establish and maintain effective working relationships with students, peers, parents and community.
26. Ability to perform duties with awareness of all district requirements and Board of Education policies.
27. Attend meetings and in-services as required.
28. Perform other duties as assigned by the Principal or Superintendent.

2. Additional Working Conditions:

- Requirement to work overtime as approved by the Superintendent
4. Frequent requirement to sit, stand, walk, talk, hear, see, read, speak, reach, stretch with hands and arms, crouch, kneel, and stoop
5. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds.
6. Ability to perform duties with awareness of all district requirements and Board of Education policies and by-laws.
SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.
REPORTS TO: Principal, Assistant Principal
STATUS: Classified
SALARY: Based on training and experience in accordance with the district salary schedule.
