We are excited to be growing rapidly and are currently seeking a dedicated and experienced Legal Administrative Assistant/Legal Secretary to join our team in Costa Mesa, CA. As part of our dynamic and collaborative team, you will be an essential part of helping us provide exceptional legal services to our clients. This position offers a hybrid work schedule, including both in-office and remote days, allowing flexibility while ensuring team connection and support.
Position Overview:
As a Legal Administrative Assistant/Legal Secretary, you will work closely with attorneys and paralegals to support the smooth functioning of the firm's day-to-day operations. Your role will be critical in assisting with document organization, managing workflows, and ensuring that everything is in order for the team to deliver outstanding legal services.
Key Responsibilities:
Prepare, proofread, and format legal documents and correspondence
File documents in state and federal courts
Maintain and organize charts with hyperlinks for legal documents
Create and manage binders for attorneys and judges
Save and organize documents and emails in the document management system (iManage)
Schedule and track legal deadlines using CompuLaw
Manage attorneys' calendars, including meetings and other appointments
Coordinate travel arrangements and process expense reports
Handle monthly client disbursements
Maintain and organize case files efficiently
Provide support to multiple timekeepers
Assist with general administrative tasks as needed
Job Requirements:

Qualifications:
Excellent written and verbal communication skills
Exceptional organizational and multitasking abilities
Proficiency with Microsoft Word, PowerPoint, Excel, Adobe Acrobat, Outlook, Teams, Compulaw, and other software tools
Strong understanding of court rules and procedures, with the ability to obtain court documents from online directories
Ability to work under pressure and meet deadlines
Ability to work overtime when necessary
Ability to lift at least 30 lbs. (files and boxes)
Education and Experience:
Minimum of 5 years of legal experience required
Civil litigation experience is essential
Stable employment history is preferred
